β What is an SOP?
A Standard Operating Procedure (SOP) is a clear, step-by-step, repeatable guide for carrying out routine tasks. SOPs help prevent mistakes and miscommunication by outlining exactly how a task should be done.
They promote:
- Consistency
- Efficiency
- Quality assurance
SOPs may also be referred to as a playbook, operations manual, or operational handbook.

βοΈ Why do we use SOPsβand why store them in one place?
Storing SOPs in a centralised location helps us:
- Maintain consistency in format, terminology, and process documentation
- Align on the way of working, using agreed process flows or checklists
- Ensure correct distribution and visibility across teams
- Provide easy access for those who need them, especially during onboarding and cross-team collaboration
π‘ What processes need an SOP? (SOP for SOPs)
An SOP should be created for:
- Clearly defined, repeatable processes followed regularly by a team (typically 3+ people)
- Processes that support onboarding of new joiners
- Tasks that assist with training and knowledge sharing within the team
If you're unsure whether a process requires an SOP, please check with your direct manager.
β When is an SOP not needed?
An SOP may not be necessary for:
- One-off or infrequently performed tasks
- Evolving processes that change frequently
- Tasks based on individual discretion or expertise
- Simple or universally understood activities
- Processes involving confidential or sensitive information, which require separate handling
When in doubt, consult your manager before creating an SOP.
π Creating a New SOP?
